Step-by-step guide

Let us walk you through the process 

  • Identify visa type

    Choose the right visa for your trip

    The first step is to determine which visa type you need, and check whether you’re eligible to apply for it.

    You’ll also need to know the documents that you’ll have to submit along with your application, how long the application might take and fees you’ll have to pay.

    Each application must comply with the guidelines applicable for your visa category.

    If your documents are not in English, you may need to get translations prepared before applying.

  • Begin your application

    Get started with your visa application

    Once you are ready to apply, go to the Consulate General of Italy website to apply for your visa online.

    You can also download the visa application form, complete it, print the completed form, and bring it with you to the Visa Application Centre for submission. 

    Applicants from Nepal should apply 15 working days prior to the date of

    departure and not more than 90 days before departure. This will take around 25 days to get back the passports, including visa processing time & courier service.

     With effect from 01 August 2015, you cannot appoint a third party to collect your documents,

     

    except in the following cases:

    • Immediate Family Member (i.e. Parents, Children, Siblings) who has applied with the rest of

    family members

    • One member of a group collecting the passports for the entire group

    • A person collecting on behalf of government officials. He/she should bring an authorization

    letter on the government letter head to the Visa Application Centre.

    • Representative of a company. He/she should bring the original authorization

    letter on the letter head of the company and the official ID card to the Visa Application Centre.

    If anyone of the above mentioned individuals visit the Visa Application Centre to collect the

    passport they will need to furnish the below documents:

    • Photocopy of Govt. ID card

    • Original ICR

    • Authorization Letter from applicant

     

    If you live in Nepal you'll need to check the current validity of your passport. The period of

    validity of a passport must be at least 3 months longer than that of the visa.

    The Consulate General of Italy in Kolkata will not accept passports with any written

    observations concerning Passport number; Surname; Given Name; Nationality; Sex; Date of

    Birth; Place of Birth; Place of Issue; Date of Issue; Date of Expiry. Only passports with no

    observations can be presented. Passports must be machine readable. Handwritten

    passports cannot be accepted.

    Once you are ready to apply, go to the Consulate General of Italy website to apply for your visa online.

    You can also download the visa application form, complete it, print the completed form, and bring it with you to the Visa Application Centre for submission. 

  • Book an appointment

    Choose a Visa Application Centre and make an appointment

    Once you have applied for your visa, you need to book an appointment to have your fingerprints and photo taken at a Visa Application Centre. This is known as ‘biometric information’.

    Once you’ve booked your appointment, you’ll receive an appointment confirmation email along with the letter of appointment.

    Before you make an appointment you should carefully read the visa application process available on the website to submit your visa application and supporting documents at the visa application center.

    If you have missed your appointment on the scheduled day, the system will not allow you to reschedule or cancel and you will require booking a new appointment after 24 hours.

    If you are part of a family or group, each member of the family or group must make an individual appointment. For example, if you are a family of 4 with 2 adults and 2 children you must make 4 individual appointments.

  • Pay your fees

    Find out the amount you need to pay

    Once you have made your application, you will need to pay your visa application fee. If you are applying online for your visa, your payment will be made as part of this process. If you download the form to print and bring to the Visa Application Centre, payment can be made at the time of your appointment. The only acceptable method of payment for Visa Fees is by Demand Draft in Indian Rupees (INR). Demand Draft should be drawn in favour of "Consulate General of Italy", payable at Kolkata, India. Note: “Any demand draft having contradicting MICR number or incorrect information shall not be acceptable”. There is a bank counter available at VFS office to assist applicants prepare their visa fees demand draft with an additional NPR 1250/-

  • Visit a Visa Application Centre

    Attend your scheduled appointment

    You’ll have to submit your complete visa application form at the Visa Application Centre in person.

    If you live in Nepal please make sure you arrive at the visa

    application center 15 minutes prior to your appointment time. Applicants are not allowed to be

    accompanied inside the Visa Application Centre. The only exceptions to this are those

    accompanying children under 18 years-of-age or applicants who need special assistance for health reasons or disability.

    You’ll have to submit your complete visa application form at the Visa Application Centre in person.

  • Track your application

    Stay informed about the progress of your application

    You will receive an email update when your decision has been returned to the Visa Application Centre. If you can’t access email easily, or would like more detailed tracking information, you may also be able to get updates by SMS sent directly to your phone. Check whether this service is available at the Visa Application Centre you are visiting.

    You can also track your visa application status online.  Use the Reference Number present on the invoice/receipt issued by the Visa Application Centre along with your last name to access this service.

  • Collect your passport

    Receive your passport from the Visa Application Centre

    After a visa application decision has been made, you can pick up your documents from the Visa Application Centre.

    Collecting your documents in person: bring the receipt issued by the Visa Application Centre and a form of Government identification. If permitted you may be able to send a representative to collect your documents; they will need to present a letter of authorisation signed by you, bring the receipt issued to you by the Visa Application Centre and their Government identification. However, for Refusal cases, we receive a letter from the consulate where we need the signature of the applicant. In this case the applicant will have to collect the passport personally from VFS.

    Please check with the Visa Application Centre at time of your appointment for the options available to collect your documents.

    If you live in Nepal please note that

    we’ll not be able to courier your passport back to you.

    An Important information:

    For Report Back, the visa holder needs to mail a scan copy of the Visa page as well as the

    facing page on the passport within 7 days of his/her return from the Schengen area.

    Moreover, please note that a visa holder has a Report Back stamp and due to any

    unforeseen circumstance fails to travel to the Schengen area, even in that case, he/she has

    to provide the scan copy of the above mentioned pages.

    It is very important to send the necessary proof of return. Please note that the visa holder

    may face dire if he/she does not Report Back and send us the necessary proof of return. The
