ALL ABOUT YOUR SCHENGEN VISAS
Schengen Visa
A Schengen visa is a visa for the Schengen Area: 27 countries with no border controls between them.
Those countries are:

The Convention implementing the Schengen Agreement came into force on 26 March 1995. The Schengen countries require visitors to obtain a common visa, which permits entry to the Schengen Area. The Schengen countries have reached agreements with each other on entry requirements and a common visa application form.
A Schengen visa’s validity may be limited to only one country (for instance the Belgium) or a specified number of countries (for instance Netherlands, Luxembourg and the Belgium). In such cases, the visa holder may visit only the countries for which the Schengen visa is valid.
Schengen Visa (short term/max. 90 days per 180 days)
If you are a national that needs a Schengen visa for Entry to Belgium, you must obtain this visa prior to your trip. To check which nationalities need a Schengen visa to enter Belgium, click Do I need a visa?
Applications shall be lodged no more than six months before the start of the intended visit. Holders of a multiple-entry visa may lodge the application before the expiry of the visa valid for a period of at least six months.
Note: In Hanoi, diplomatic and official’s passport holders should be submitted at the Embassy, not at VFS Visa Application Center.
Short Stay Visa
If you wish to visit Belgium for a short period of time, you must obtain a visa prior to entry if you come from a country with a visa requirement for entering Belgium.
- A visa normally grants you the right to stay in the entire Schengen region. The Schengen countries are: Austria, Belgium, Croatia, the Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, the Netherlands, Norway, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden and Switzerland.
- A visa grants you the right to spend a maximum of 90 days per 6 months in the Schengen region.
- All visa applications should be signed by the customer personally.
- All fields in the application form must be filled in correctly, incomplete forms may cause delay in processing or even rejection.
- The Embassy reserves the right to request additional documents and/or information when processing the application.

For short stay, you must always submit valid travel insurance on the day you apply for your visa.
Guarantees for return (assessment of migration risk): The customer is requested to provide as much information as possible to document his/her family background, professional and socio-economic status, ownership of land or real estate (for instance : proof of family bonds with his/her country of origin, proof of regular income and stable source of revenues from the customer and/or his/her partner, proof of property, etc.)
This information is essential to correctly judge the intention of the customer to leave the Schengen area before the expiry of his/her visa.
Tourist Visa

Overview
Tourism Visa
This visa is solely for the purpose of leisure travel including vacationing, cruising, sightseeing and other recreational activities. If during any portion of their visit to Belgium the customer intends to engage in business, or official duties he/she must refer to other relevant visa categories.
Note
In case you have already submitted your fingerprints for a previous Schengen visa application in the last 59 months, you are not required to submit them again.
However, If you are uncertain whether your fingerprints have been captured for a Schengen visa within the last 59 months, you are advised to appear in person.
Kindly note that, if it would appear that the fingerprints prove not to be present in the VIS system, you will be asked to reappear in person for new biometric data collection. To avoid this possible complication, you have the right to ask for your fingerprints to be taken again.

Photo Specifications
Photograph Standards:
All visa applications must include one recent photograph in color meeting the compulsory internationally agreed standards.
The basic rules are simple:
- The photo must not be older than 6 months
- Taken against a plain light background
- Size 35mm by 45mm (IMPORTANT: Passport photos in U.S. format are not accepted)
- Face must cover 2/3 of photo and looking straight forward
- Neutral expression please and mouth must be closed (no obvious grinning or raised eyebrows)
- Eyes must be on the middle line or in upper half of the photograph
- Hair must not cover face
- No reflection or glare on your glasses and the frames should not cover your eyes (you may find it easier to remove your glasses)
- The photograph must be in sharp focus and clear
- Have a strong definition between the face and background
- Printed professionally
- Eyes open and clearly visible
- Full head, without any head covering unless it is worn for religious beliefs or medical reasons
- CHILDREN: photographs of children must show a clear image that is a true likeness of the child. The eyes should be open and if you need to support a baby’s head, it is important, that your hand cannot be seen in the photograph.

Processing Time
The handling time of the various applications will depend on the case load. The handling time is calculated from the moment an application has been registered in the visa handling system.
For Schengen visa, the embassy normally makes a decision in the case within a period of 15 calendar days. That period may be extended up to a maximum of 30 calendar days in individual cases, notably when further scrutiny of the application is needed. Exceptionally, when additional documentation is needed in specific cases, the period may be extended up to a maximum of 60 calendar days.

Business (Professional reasons, traineeship or training, cultural, sporting, conference or other not religious event)

Overview
Business Visa
A Business visa is required if during any portion of the visit customer intends to conduct business or commercial activities. e.g.; Meetings, Conference, Trainings, Trade Fairs, etc.; such visas can only be issued to travelers not being paid for work by an entity within Belgium. If the customer intends to undertake paid work in Belgium, he/she will need to obtain a work permit.
Note

The cohabitation in Belgium allows that you can apply for a cohabitation visa and residence permit as an immigrant to Belgium.

Visa Type Euro VND VISA TYPES D (long stay national visa) 180 5,580,000 The spouse or children under the age of 18 of a national of one of the aforementioned Member States. 0 0 Scholarship holders from the Belgian State, Belgian administrations in the broad sense (e.g., DGD, Cooperation, Communities and Regions), international bodies (e.g., scholarship holders from a Union programme), and Belgian universities. 0 0 Nationals of Morocco, Israel, Turkey, Japan and San Marino who request authorization to stay in Belgium for more than 3 months (provisional residence permit). Photograph Standards:
All visa applications must include one recent photograph in color meeting the compulsory internationally agreed standards.
The basic rules are simple:
- The photo must not be older than 6 months
- Taken against a plain light background
- Size 35mm by 45mm (IMPORTANT: Passport photos in U.S. format are not accepted)
- Face must cover 2/3 of photo and looking straight forward
- Neutral expression please and mouth must be closed (no obvious grinning or raised eyebrows)
- Eyes must be on the middle line or in upper half of the photograph
- Hair must not cover face
- No reflection or glare on your glasses and the frames should not cover your eyes (you may find it easier to remove your glasses)
- The photograph must be in sharp focus and clear
- Have a strong definition between the face and background
- Printed professionally
- Eyes open and clearly visible
- Full head, without any head covering unless it is worn for religious beliefs or medical reasons
- CHILDREN: photographs of children must show a clear image that is a true likeness of the child. The eyes should be open and if you need to support a baby’s head, it is important, that your hand cannot be seen in the photograph.

The handling time of the various applications will depend on the case load. The handling time is calculated from the moment an application has been registered in the visa handling system.
For Schengen visa, the embassy normally makes a decision in the case within a period of 15 calendar days. That period may be extended up to a maximum of 30 calendar days in individual cases, notably when further scrutiny of the application is needed. Exceptionally, when additional documentation is needed in specific cases, the period may be extended up to a maximum of 60 calendar days.

Long - Stay Visa
A visa for “long stay” is applicable for people who remain a long time (more than 90 days) or who establish themselves definitively in Belgium.
Since the 2 March 2015 some foreign nationals have to pay a contribution which is to cover the administrative costs involved with the processing by the Immigration Office of a long stay visa application for Belgium. When submitting the visa application, the customer who is required to pay the contribution shall have to demonstrate that the contribution has been paid in full. A visa normally grants you the right to stay in the entire Schengen region. The Schengen countries are: Austria, Belgium, Croatia, the Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, the Netherlands, Norway, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden and Switzerland.
A visa grants you the right to spend more than 90 days in the Schengen region.
All visa applications should be signed by the customer personally.
- All fields in the application form must be filled in correctly, incomplete forms may cause delay in processing or even rejection.
- The Embassy reserves the right to request additional documents and/or information when processing the application.

Change from 01 December 2018: capture of fingerprints for Long Stay Visa (D) for Belgium
By taking your fingerprints you can be identified with certainty as the sole holder of the visa which enhances security for everyone, including the visa customer. This protects you against forgery or misuse of identity - for example in the event of theft or loss of your passport – and facilitates checks at external borders.
Finger prints for D visa cannot be re used for short stay visa (C Schengen visa)

All applications should be lodged at the Belgian Visa Application Center in Hanoi, Da Nang or Ho Chi Minh City . Personal appearance is in principle compulsory.
Categories of exemption of personal appearance:
- Children under the age of 6 (for D visa) and under the age of 12 (for C visa);
- Persons for whom the collection of fingerprints is physically impossible;

New contribution for visa LONG stay - D
Since the 2nd of March 2015, a contribution is required for the processing of certain long stay (D) visa applications.
This contribution can be paid by either the customer or a third person (family members, acquaintance, sponsor, guarantor, etc.). This contribution should be paid into the account of the Immigration Office in Belgium.
The proof of payment of this contribution needs to be presented at the time of the introduction of the visa application. Should the customer be unable to provide a proof of payment, the visa application will be deemed inadmissible.
This contribution is to be paid on top of the handling fee of the long stay visa (handling fee = the equivalent of €180 in local currency). The handling fee will still need to be paid at the time of the application. An exemption for the handling fee, does not necessarily imply that one is also exempt for the contribution.
We therefore recommend you to carefully consult the website of the Immigration Office with regards to the amount of the contribution and the manner in which this is to be paid.
Attention- Any bank charges or charges related to the transfer will need to be borne by the customer or whomever performs the transfer.
- In the event that you have not paid the full amount, you will have an additional 30 days to transfer the additional amount. If you do not provide the proof that the full amount was paid within this period, the amount already paid will not be reimbursed and the application will be inadmissible.
- The contribution will likewise not be reimbursed in the event of a refusal of the visa.

The visa for family reunification with Belgian citizen (ART 40) is given in request for a Long Stay Visa D in order to join husband/wife who is a national of Belgium and who lives in Belgium. As a prior requirement, documents submitted must be legalized first.

We therefore recommend you to carefully consult the website of the Immigration Office with regards to the amount of the contribution and the manner in which this is to be paid.
Attention- Any bank charges or charges related to the transfer will need to be borne by the customer or whomever performs the transfer.
- In the event that you have not paid the full amount, you will have an additional 30 days to transfer the additional amount. If you do not provide the proof that the full amount was paid within this period, the amount already paid will not be reimbursed and the application will be inadmissible.
- The contribution will likewise not be reimbursed in the event of a refusal of the visa.
Photo Specifications
Photograph Standards:
All visa applications must include one recent photograph in color meeting the compulsory internationally agreed standards.
The basic rules are simple:
- The photo must not be older than 6 months
- Taken against a plain light background
- Size 35mm by 45mm (IMPORTANT: Passport photos in U.S. format are not accepted)
- Face must cover 2/3 of photo and looking straight forward
- Neutral expression please and mouth must be closed (no obvious grinning or raised eyebrows)
- Eyes must be on the middle line or in upper half of the photograph
- Hair must not cover face
- No reflection or glare on your glasses and the frames should not cover your eyes (you may find it easier to remove your glasses)
- The photograph must be in sharp focus and clear
- Have a strong definition between the face and background
- Printed professionally
- Eyes open and clearly visible
- Full head, without any head covering unless it is worn for religious beliefs or medical reasons
- CHILDREN: photographs of children must show a clear image that is a true likeness of the child. The eyes should be open and if you need to support a baby’s head, it is important, that your hand cannot be seen in the photograph.
Processing Time
Processing Time : 15 Calendar Days after application is consider admissible. In individual cases, where further scrutiny of the application is needed by the Immigration department in Brussels, the deadline may be extended up to a maximum of 6 months after the application has been considered admissible.

Customers applying for Belgium Long Stay Visa (D Visa) Category are requested to appear in person at the visa application center to register their biometrics which includes scans of all fingerprints and live digital photo.

Visa Fees

The applicable visa fee is as per the current exchange rate. It is subject to change. The Belgium Embassy in Vietnam is the only entity which is authorized to change the rates provided. All fees are non-refundable unless instructed by the Embassy.

Note: For document, the customer needs to submit one set of original and one set of copy. One set of copy must be printed in one-sided A4 papers and without staple.

New contribution for visa LONG stay - D
Since the 2nd of March 2015, a contribution is required for the processing of certain long stay (D) visa applications.
This contribution can be paid by either the customer or a third person (family members, acquaintance, sponsor, guarantor, etc.). This contribution should be paid into the account of the Immigration Office in Belgium.
The proof of payment of this contribution needs to be presented at the time of the introduction of the visa application. Should the customer be unable to provide a proof of payment, the visa application will be deemed inadmissible.

Processing Time
Processing time: Don’t wait until the last moment to submit your visa application. The decision making time might be longer during some periods (summer months, holiday season). Therefore, please make sure to submit your visa early enough.
Submit a complete file: Kindly read attentively the information about the necessary documents to be provided before submitting your file. If the Consulate needs to ask for additional documents before being able to take a decision or before sending your file to the Immigration Office, you might not receive your visa on time.
