Applying for a Schengen "C" visa
Persons applying for a Schengen “C" visa are required to book their appointment through our VFS online booking system https://visa.vfsglobal.com/phl/en/pol/login.
To acquire a registered application form kindly visit the Embassy online system https://secure2.e-konsulat.gov.pl/ and follow instructions on the website. Please choose Schengen Visa - Fill in Form. Complete it, click on “Save”, and print out the application form and bring it with you to the VFS Poland Visa Application Centre in Makati for submission.
Schengen short-term visa
It is issued to persons who plan to stay in the territory of Poland or the Schengen states jointly (during one or several trips) for up to 90 days during each 180-day period, calculated from the date of entry into the territory of the Member States, or who plan to move within the Schengen territory for transit (by train, car, plane). Periods of stay authorized under a residence permit or long-stay (national) visa are not taken into account when calculating the length of stay on the territory of the Member States.
Schengen visa with limited territorial validity - LTV
Visa issued exceptionally, in specific cases. It authorizes to stay in the territory of the issuing state. It may be valid on the territory of more than one Schengen country, provided that each of them expresses consent.
Schengen airport transit (A-type) *
It is issued to people who intend to go by plane to a third country and the air connection provides for landing at an airport located in the territory of the Republic of Poland. The A-airport transit visa only authorizes you to enter and stay in the international transit zone of the airport (it does not authorize you to enter the Schengen territory or leave the airport transit zone).
* applies to citizens of: Afghanistan, Bangladesh, Democratic Republic of Congo, Eritrea, Ethiopia, Ghana, Iran, Iraq, Cuba, Nigeria, Pakistan, Sudan and Sri Lanka.
LIST OF MANDATORY DOCUMENTS FOR SCHENGEN VISA APPLICANTS
- Visa application from - completed and signed;
- Current color photo measuring 3.5 x 4.5 cm (from Art. 10 (EC) No. 810/2009);
- Passport issued within the last ten years, valid for at least 3 months from the date of intended return (in justified urgent cases this criterion may be omitted), with at least 2 blank (blank) pages for visas (Art.12 (EC) No 810 / 2009);
- A copy of your passport with personal data;
- Health insurance, valid throughout the territory of all Schengen States, for an amount not less than EUR 30,000, covering any expenses that may arise from sudden return for medical reasons, urgent medical care, emergency hospital treatment or death during stay. The insurance should be valid for the period of the planned stay or transit (applicants for a single or double visa should have insurance covering the entire period of the planned stay; persons applying for a multiple visa should have insurance covering the entire period of the planned first stay / entry, Article 15 (EC) no. 810/2009). You can download the list of accredited insurance companies developed by the Local Schengen Cooperation in the Republic of the Philippines here;
- Documents confirming the purpose and conditions of the planned stay in the territory of the Republic of Poland (Article 14 (EC) No. 810/2009); - below you will find a list of sample documents that should be provided depending on the destination; flight / travel reservations or other proof of intended means of transport;
- Documents confirming the earned income and presented as proof of the applicant's financial relations with the country of residence:
- Employed persons: employment certificate confirming the position of the employee, date of employment and duration of leave, and must include the name and title of the signatory, employer's contact details and salary;
- Private entrepreneurs: license / company registration; last tax declaration;
- Pupils and students: student ID or certificate from the school / university confirming the status of the student / student along with the consent to leave/ proof of enrolment / certificate from the school with confirmation of leave of absence. You may be also requested to submit a student’s record-book.;
- If applicable, documents confirming the ownership (land, house or, if applicable, other property) or marital status, e.g. marriage certificate certified with apostille stamp or legalized by the competent authorities;
- One of the following documents confirming possession of funds for the stay in Schengen countries:
- Valid, issued by the bank, account status certificate;
- Valid credit card (certificate of funds that can be used);
- Valid certificate from the place of work on the income for the last 6 months;
- For travelers' checks issued in the name of the applicant – original and copy;
- Up-to-date bank account statement for the last 6 months;
- A residence permit under the law of the Republic of the Philippines along with the right of re-entry (in the case of foreigners residing in the Republic of the Philippines).
LIST OF SUPPLEMENTARY DOCUMENTS TO BE PRESENTED BY MINORS
- A birth certificate certified with apostille stamp or legalized by the competent authorities ;
- A notarized consent of a parent or legal guardian who did not sign the visa application for the minor's departure from the Philippines (original and copy). If both parents / legal guardians are present, a notarized consent to leave is not required when submitting a visa application from a minor;
- If a minor travels without both parents (for example with a sports group) – consent of both parents for the minor's departure from the Philippines drawn up by a notary;
- If a minor has only one guardian, an appropriate document should be presented (a court decision granting sole parental authority, a death certificate or another document);
- In the case of minors traveling with accompanying parents, a photocopy of the valid parental visa is required.
IMPORTANT ADVISORY

Applicants must present two (2) sets of documents for a visa application – one (1) original set of documents and one (1) set of photocopies.
All documents must be arranged according to the checklist of supporting documents required for visa application process.
- All documents for the set of photocopies should be in A4 size paper.
- Applicants are requested to submit the required documents during the visa application.

The checklists of documents are not exhaustive.
The Consul may request each applicant to provide additional documents confirming the information provided in the visa application and ask the applicant to come to the Embassy in person for an interview.
- All forms of communication to the applicant for request of additional documents or further information on the status of their application will be sent through the provided email address on the form. Therefore, applicants are advised to regularly check their emails for messages during the whole period of processing of their visa applications.
- For family and group applications, each applicant must have the same set of documents and also arranged according to the checklist of supporting documents required for visa application process.
Tourism

Overview
It is applicable in case you are travelling for tourism. This visa is given for a period of the stay up to 90 days within 180 days.

Visa Fees
The fees must be paid at the office counter when submitting the application. Visa fee is payable in cash. Please note that this is non-refundable, whatever the consul's decision.
In accordance with article 16 of REGULATION (EC) No 810/2009 OF THE EUROPEAN PARLIAMENT AND OF THE COUNCIL of 13 July 2009 establishing a Community Code on Visas (Visa Code) (OJ L 243, 15.9.2009, p. 1) basic visa fee is EUR 80. Children aged six to under 12 pay a visa fee of EUR 40.

- Representatives of non-profit organizations aged 25 years or less participating in seminars, conferences, sports, cultural or educational events organized by non-profit organizations.

The sum insured has to exceed 30.000 Euro.
Only a policy issued by an insurance company based in Europe or listed insurance companies are accepted by the Embassies of the Schengen Countries in Manila.
The policy shall be valid for all Schengen area states.
The policy shall cover at least the entire period of the first trip.

For company employees - original letter from employer confirming the position in the company, date of employment, salary for the last 6 months and period of holidays granted (certificate of leave of absence). The letter must include the name and position of the person who signed the certificate, registration and contact details of the company.
For private business – confirmation of business registration, license, income tax return, business financial statement;
For students – proof of enrolment, certificate from the school with confirmation of leave of absence and the valid student's ID card. You may be also requested to submit a student’s record-book;
For pensioners – pension certificate indicating the amount of pension;
For unemployed – a written and signed explanation on the applicant’s labour situation;
- Documents confirming ownership of real estate property in the Philippines (if applicable)
- Confirmed round-trip flight reservation with fixed dates, booking number and transport reservation in the Schengen states if the applicant visits more than one Schengen country
- Hotel reservation or other proof of accommodation

Photo Specifications
All photos must meet the requirements listed below. If these requirements have not been met, the applicant will have to deliver a new photo that meets the requirements.
FORMAT REQUIREMENTS:
- Size of photograph: 3.5 X 4.5 cm
- Sharp and in color, printed on high-quality paper with a white background
- Not older than 6 months, enabling identification of applying person
- "En face" - face straight to the objective, both sides of the face need to be visible
- Photograph must present a person from top of head to shoulders
- Size of the head should cover 70-80% of vertical length of a photo
- Head must be uncovered and unveiled, face must not be covered by hair, eyes must be visible, mouth must be shut
IF YOU WEAR GLASSES:
- Glasses must not be dark
- Eyes must be visible through frames
- Glasses must not reflect the light
IF YOU WEAR RELIGIOUS HEAD COVERS:
- Chin, forehead and both cheeks must be clearly visible
- Face must not be shadowed by head cover
The photo requirements are the same for children as for adults.

Processing Time
The standard processing time for visa processing is 15 calendar days.
The processing time might be extended for citizens of certain countries or specific categories of travelers due to mandatory visa consultation. Business/Conference/other official, Cultural or Sport events

Invitation letter / officially registered invitation ("ZAPROSZENIE")
Please note that there is no obligation in registering official invitation in Poland by the host person - this procedure is a choice as it is connected with legal responsibilities. Regular invitation letter issued by the host person (not registered at "Urząd Wojewódzki") must indicate personal data of the inviting and invited parties, the purpose and duration of the visit, the place of residence of the applicant, relations between the host and applicant, a written commitment to cover the applicant’s living, return and healthcare costs if necessary, signature of the inviting party.
Additionally, if the invitation is not officially registered at "Urząd Wojewódzki" the applicant will be requested to submit a document proving the host’s ability of covering costs associated with the applicant’s stay as well as a document confirming the host’s legal title to the residential premises or a document confirming the host’s ability of providing accommodation to the applicant elsewhere, e.g. an ownership act, rent contract, reservation in the hotel.
- Travel history of the sponsor in case of non-formalized relationship (boyfriend/girlfriend)

The certification must be submitted only if the applicant and the host person are relatives, e.g. marital status, birth certificates, etc.

Please note that officially registered invitation ("Zaproszenie") may confirm financial means for the applicant. Nevertheless, presentation of regular income does prove ties with the country and may serve as one of the guarantors of return before the visa expiration.

e.g. notary sponsorship letter covering the period of the requested visa, bank statements presenting the transactions / movements of the last 6 months or tax clearance for the previous year. The letter should confirm the intention to employ the foreigner as well as the character of employment, the position and the salary of the employee. The document must also include the contact details of the employer as well as the statement on providing the employee with social security scheme in Poland at the actual start of performing employment duties.

e.g. confirmation letter from the employer confirming providing accommodation with indication of its character and location (dormitory, apartment), hotel reservation.

*IMPORTANT NOTE:
Visas for the purpose of carrying out work are issued by the Polish Consul at the office relevant to the applicant's legal residence. The Polish consulate may also accept an application for employment visa lodged by a third-country national legally present but not residing in its jurisdiction, if the applicant has provided justification for lodging the application at that consulate. This is a Schengen visa (stay up to 90 days) or national type of visa issued for the period of stay corresponding to the period specified in the work permit but not exceeding one year.
Employment without prior authorization and relevant visa is strictly prohibited.

Applying for a national "D" visa
It is issued to persons who intend to stay in the territory of Poland jointly (during one or several entries) for more than 90 days within a year from the date of the first entry.
A long-stay national visa (D) authorizes its holder to stay:
- On the territory of Poland within the validity period for which it was issued;
- Within the territory of the other Schengen states for up to 90 days in each 180-day period calculated from the date of entry into the territory of the Member States.
The period of validity of a national visa may not exceed 1 year.

- A residence permit under the law of the Republic of the Philippines along with the right of re-entry (in the case of foreigners residing in the Republic of the Philippines).

- In the case of minors traveling with accompanying parents, a photocopy of the valid parental visa is required.
IMPORTANT ADVISORY

Applicants must present two (2) sets of documents for a visa application – one (1) original set of documents and one (1) set of photocopies.
All documents must be arranged according to the checklist of supporting documents required for visa application process.
- All documents for the set of photocopies should be in A4 size paper.
- Applicants are requested to submit the required documents during the visa application.

Please note that there is no obligation in registering official invitation in Poland by the host person - this procedure is a choice as it is connected with legal responsibilities. Regular invitation letter issued by the host person (not registered at "Urząd Wojewódzki") must indicate personal data of the inviting and invited parties, the purpose and duration of the visit, the place of residence of the applicant, relations between the host and applicant, a written commitment to cover the applicant’s living, return and healthcare costs if necessary, signature of the inviting party.
Additionally, if the invitation is not officially registered at "Urząd Wojewódzki" the applicant will be requested to submit a document proving the host’s ability of covering costs associated with the applicant’s stay as well as a document confirming the host’s legal title to the residential premises or a document confirming the host’s ability of providing accommodation to the applicant elsewhere, e.g. an ownership act, rent contract, reservation in the hotel.

Schengen - Simplified Visa Procedure for FAMILY MEMBERS OF EU CITIZENS
IMPORTANT NOTICE: This procedure applies only to family members of EU nationals who do not have Polish citizenship or do not have a permanent residence in Poland.
EU nationals include:- nationals of EU member states,
- nationals of Iceland, Liechtenstein, Norway and Switzerland.
- a spouse,
- a partner with whom an EU national formed a partnership under the law of a given EU state, provided that this country’s law recognizes a formal partnership as equal to a marriage,
- a child under 21 who is dependent on an EU national, his/her spouse or partner.

A visa is refused when:
- the applicant applies for entry during the period of validity of the entry concerning that person on the list of foreigners whose stay in the territory of the Republic of Poland is undesirable or
- the stay of that person on the territory of the Republic of Poland may pose a threat to the defense or security of the state or the protection of public safety and order or public health.
- Refusal to issue a visa by a consul takes the form of a decision. The decision to refuse a visa may be appealed against to the Minister of Foreign Affairs

REFUSAL, ANNULMENT, REVOCATION OF A VISA

Overview
The applications for reconsideration of negative visa decision should be submitted (personally or by an authorized person) at the Poland Visa Application Centre between 9.00 am -12.00 noon, Monday through Friday except for Polish and Philippine holidays. There is no need for online appointment. The fee for an appeal is the same as for the original application.
The original of written appeal is to be lodged within 14 days of receipt of the negative visa decision.
NATIONAL VISA (D-TYPE)
In the case of refusal to issue a national visa, the decision is presented to the applicant on a standard form, constituting Annex 3 to the Ordinance of the Minister of Interior and Administration of April 19, 2019 on visas for foreigners (Journal of Laws of 2019, item 782). The form shall state the reasons for the decision.
In the case of annulment / revocation of a national visa, the decision is presented on a standard form attached to the Ordinance of the Minister of the Interior on annulment and revocation of visas for foreigners of April 28, 2014 (Journal of Laws of 2014, item 560). The form specifies the reasons for the decision to annul / revoke the visa.
SCHENGEN VISA (C-TYPE)
In the case of refusal to issue a Schengen visa and its annulment and revocation, the decision is presented to the applicant on the standard form constituting Annex VI to the Regulation of the European Parliament and of the Council (EC) No. 810/2009 of July 13, 2009 establishing a Community Code on Visas (Visa Code) of 13 July 2009 (Official Journal of the European Union 2009 No. 243). The form specifies the reasons for the decision.
APPEAL PROCEDURE
Persons who have been refused a visa or received a decision to annul / revoke a visa have the right to appeal. Appeals for both national and Schengen visas are conducted against the Member State that made the decision and in accordance with the national law of that State.
A decision issued by a consul of the Republic of Poland may be requested for the case to be reconsidered by this authority. The application for reconsideration of the case shall be submitted within 14 days from the date of delivery of the decision on refusal / annulment / revocation of the visa.
The fee for an appeal is the same as for the original application EUR 80.
Consular fee in accordance with the Table of Consular Fees (amount in PHP peso equivalent to EUR 80).
The consul examines the application for reconsideration of the case within 14 working days of its submission.
According to Art. 94 sec. 3 of the Act of 25 June 2015 Consular Law (Journal of Laws of 2015, item 1274), in the case of national visas, the decision made in the appeal procedure is final. If, after examining the application for reconsideration, the consul issued another decision to refuse, annul or revoke the Schengen visa, with which the applicant does not agree, in this case, a complaint may be lodged with the Provincial Administrative Court in Warsaw.
